Health Resources and Response Section - Bismarck, ND - Administrative AssistantIf you are looking to make a difference and drive your success, you have come to the right place. We are looking for a candidate with a passion to help the citizens in our state.This position will provide administrative support to staff in the Emergency Medical Systems program and assist in the following units when needed, Emergency Preparedness and Response, Hospital Preparedness Program, Health Facilities, Life Safety and Construction and Food and Lodging. Work primarily involves assisting the Emergency Medical Systems (EMS) with licensing, updating the data base, supporting the call center, updating the website, performing routine administrative functions, and completing required data entry. Assist with the necessary duties to complete licensing and updating of the Assisted Living Program, this includes receiving, scanning documents to the appropriate folders, working with administrator to ensure that all pertinent information is received, and tracking each individual entity to licensing and completion. Representing the organization to customers, the public, government, and external sources.Support the call center staff with calls and forward incoming calls to the appropriate unit.Ability to navigate data system to assist with required data entry, download requested information or input data for individuals and agencies.Update the website.Create and update forms.Take minutes of meetings and post meetings to the Secretary of State website.Answer rudimentary questions related to the EMS programs or to be able to direct the requester to the appropriate area of the website.Make travel arrangements, accommodations or other arrangement for staff.Assist with ordering supplies.Prepare workshop material, certificates, forms, and PowerPoint presentations.Process queries from licensure database.Maintain schedules and ensure that EMS personnel and services receive support for events.Update forms on the S Drive.Create documents in Word, Publisher, Excel, PowerPoint, and other programs. Organize and maintain office filing system. Prepare mail, maintain mailing lists, coordinate bulk mailings, and ship supplies weighing up to 40 pounds.Complete mail distribution. Disperse Fed Ex and UPS deliveries. Serve as a backup for other administrative staff. Participate in rotating schedule to provide office coverage from 8 a.m. to 5:00 p.m.During an emergency, track and manage visitors to this building that require temporary badges to assist staff members. To be considered for this position you must have an associate degree.
